General Terms and conditions

Privacy
Ecsite will receive personal data of the participants. Ecsite will process the received personal data as data controller. For the performance of the contract or to comply with legal obligations, the personal data may be transferred to selected third parties. Ecsite ensures that the received personal data of the participants is being processed and transferred in accordance with the provisions and principles of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC ("GDPR"). According to the GDPR, the participant shall always have the right to request data access, inspection, data rectification or erasure, information, data portability, objection, limitation to the processing of the data relating to him and to be forgotten upon written request, in accordance with the applicable legal provisions. Please note that by registering to attend to the Ecsite Online Conference, all participants are also agreeing to the privacy policy of Hopin (https://hopin.com/privacy).

Disclaimer
Whilst the programme is correct at the time of publication, Ecsite reserves the right to amend the programme at any time.
Please note that given that this is an online event, slight session time changes might take place due to potential technical issues such as: slow internet connection, difficulty to bring a speaker on screen, etc.

All participants who accept to come on screen during the live Conference (e.g. during a parallel session or a networking event, in the expo area, etc.) may be photographed/screen captured and recorded. Your image may then be used in brochures, emails, films and on the Ecsite website and social media channels, including YouTube and Flickr. All speakers taking part in the Ecsite Online Conference will be visible on screen and may be recorded. Furthermore, any written correspondence, such as questions in a Q&A session, use of public chats or polls may also be recorded or the data stored. Should you not wish to have your image used or written participation recorded, please contact the Ecsite Office directly.

Ecsite is not responsible for injuries to participants during the Ecsite Online Conference, which will take place online. Participants are responsible for any damage they cause to any working locations during the online event.

Ecsite shall not be liable for any disruption to the conference due to force majeure events and no refunds will be made, either in part or full, for cancellations due to such circumstances. Circumstances amounting to force majeure include any event which could not be foreseen or forestalled, not even with all due care, including, but not limited to, war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, volcanic ash clouds and all similar events.

Furthermore, Ecsite is not responsible for any local online connection issues that participants may encounter during the Ecsite online Conference and it is participants' responsibility to ensure they have working internet and the correct equipment required ahead of the event.

In case of proven professional error/fault, the liability of Ecsite is limited to the withdrawal of the invoice. Any dispute arising from the execution of this invoice will be settled under Belgian law. The courts of law of the district of Brussels are exclusively competent to take cognisance of any possible disputes.

Terms of Payment
Full payment of the registration is due within 7 days of the invoice date.
Possible bank charges related to the payment are to be paid by the customer.
Your registration will only be activated and validated on the Conference platform when full payment has been received.

Cancellation Policy
All cancellations must be made in writing to info@ecsite.eu.
- Between 14 and 29 April 2021 – A processing fee of €10 excl. VAT (€12,10 VAT incl.) will be assessed.
- After 29 April 2021 – Cancellations are not allowed and the full payment stays due.

Substitution Policy
- Between 14 April and 25 May 2021 – Substitutions are allowed with written authorisation of the registrant unable to attend and must be made only in writing to info@ecsite.eu.
- After 25 May 2021 – Substitutions are not allowed.
